The Habits That Made Me a Better Wedding Planner

When I first became a wedding planner, I thought success came from working harder.

I believed I just needed to stay more organized, answer emails faster, and remember every detail.

After planning more than 300 weddings over the past 16 years, I’ve realized becoming a better planner wasn’t about working harder—it was about building better habits.

The Habits That Made Me a Better Wedding Planner

Here are the habits that have had the biggest impact on my business.

1. I Write Everything Down Immediately

If a couple mentions a change during a phone call, I document it.

If a vendor shares an update, I document it.

If I think of something that needs to be followed up on, I document it.

I’ve learned that the fastest way to forget something is to assume I’ll remember it later.

Writing things down immediately has saved me fromcountless mistakes.

2. I Never Rely on Memory

One of the biggest mindset shifts I made was realizing my memory isn’t my planning system.

My systems are.

Every important detail belongs in a checklist, timeline, planning document, or client file.

When everything has a place, I spend less time worrying about what I’ve forgotten and more time serving my couples.

3. I Batch Similar Tasks Together

Instead of switching back and forth between projects all day, I group similar work together.

I’ll dedicate time to confirming vendors, responding to emails, updating timelines, or reviewing contracts in batches.

Not only is it more efficient, but it also helps me stay focused.

4. I Update Documents As Changes Happen

Years ago, I would sometimes wait until the end of the day to update timelines or planning documents.

Now I make changes as soon as I receive new information.

That way, I’m always working from the most current version, and I don’t risk forgetting something later.

5. I Save Every Important Email

I’ve learned never to assume I’ll remember what someone said weeks or months ago.

Contracts, approvals, timeline changes, special requests, and vendor conversations all become part of the wedding file.

Being able to quickly reference past communication has answered countless questions before they became problems.

6. I Create Systems Instead of Starting Over

Every wedding is unique.

My process isn’t.

Over the years, I’ve built templates, checklists, questionnaires, and workflows that allow me to deliver a consistent experience for every couple.

Instead of reinventing the wheel, I improve my systems after every wedding.

7. I Solve Problems While They’re Small

Small problems have a way of becoming big problems if they’re ignored.

An unanswered question today can become an emergency during wedding week.

I’ve learned it’s almost always easier to address something early than scramble to fix it later.

8. I Overcommunicate

I’ve never regretted confirming something one more time.

I confirm arrival and departure times.

I confirm timeline updates.

I confirm vendors received important information.

I’d rather send one extra email than assume everyone is on the same page.

9. I Review Contracts Before Contacting Vendors

Before asking a vendor a question, I review their contract.

Many answers are already there.

It saves time, reduces unnecessary emails, and helps me communicate more confidently with both vendors and clients.

10. I Improve My Process After Every Wedding

No wedding is perfect.

After each event, I ask myself:

What worked well?

What could be improved?

What should I change before the next wedding?

Those small improvements have compounded over 16 years into the planning systems I use today.

Final Thoughts

None of these habits transformed my business overnight.

But together, they’ve helped me become a calmer, more organized, and more confident wedding planner.

The goal isn’t to remember everything.

The goal is to build systems and habits that allow you to focus on your couples instead of worrying about what’s been overlooked.

If you’re a newer planner, start by improving one habit at a time.

Years from now, you’ll be grateful you did.
