The Tools I Use To Run My Wedding Planning Business

After nine years of planning weddings I’ve finally figured out the tools that work best for me in my wedding planning business.  I have tried oh so many client management programs and other tools that I didn’t love for a variety of reasons.  I now use what I believe is the BEST client management system for wedding planners and lots of other great tools that help me in my business.

There are so many systems and programs out there to choose from and I don’t want other wedding planners to waste time trying to figure out which ones will work best for their business.  Today I am sharing twelve tools that I use every single day in my wedding planning business.

The Tools I Use To Run My Wedding Planning Business

1. Aisle Planner

2. Trello

Trello has been a game changer for my business and my life.  I have been using Trello for a couple of years now and feel like I would be so lost without it.  Trello is a list management tool that allows you to organize and prioritize your life and projects in a fun, flexible and rewarding way.  You can add additional users, assign tasks, schedule due dates, attach documents, photos and more.

3. Later

Later is the tool I use to plan my Instagram posts.  I use the free version that allows users to schedule up to thirty posts within a thirty day time period.  I can create a month’s worth of content as well as schedule it to post whenever I desire.  This has been such a time saver for my business!  I don’t have to worry about what I’m going to post about everyday and I don’t have to remember to post everyday because Later reminds me.  I get a notification that it’s time to share the post I have pre-scheduled in Later and all I have to do is hit “Post Now.”

4. Dropbox

I use Dropbox to store all of my photos and documents instead of keeping them stored on my computer’s hard drive.  I have everything organized into folders so it’s very easy to locate something at any time.  I also have the Dropbox app on my phone, which I love.  Every Friday I move any photos I have stored on my phone that I want to save to a specific folder in Dropbox.  I do have the paid version of Dropbox because I needed it in order to store all of my folders, documents and photos, but it’s so worth it to me.  I tried using Google Drive because it was free, but found that it was very slow to download and upload photos.

5. Convertkit

Convertkit is an email service provider that I have been using for about a year now.  I love how easy it is to use.  I can easily add tags, create opt-in’s, and create email funnels just to name a few things.  There is a small monthly fee of $29, for Convertkit.  If you are just starting out and need a free email service provider, Mailchimp is going to be for you.

6. Mile IQ

Mile IQ is an app that I have downloaded to my phone that tracks every mile I make in any vehicle.  It makes keeping up with my business mileage so dang easy.  I don’t have to worry about writing down my mileage anymore, because Mile IQ does it for me.  I do have the paid version that gives you unlimited mileage tracking and it’s so worth it.  In the past I would never remember to keep up with my mileage (and I drive a lot to purchase supplies, go to meetings, go to events, etc.) and didn’t get credit for a lot of business miles I traveled before Mile IQ came into my life!  Use this link here to get Mile IQ at 20% off)

7. Canva

Oh Canva how I love you!  Canva has been a game changer for creating graphics, templates, e-books, design guides, and more for my business.  Canva is so easy to use and does not require you to be a graphic designer to use it.  I do have the paid version of Canva because I like to have my business fonts and colors already uploaded into Canva and ready to use on anything I am designing in Canva.  The free version gives you all of the same benefits, other than storing your custom fonts and colors.  I used the free version for months just fine so I definitely think the free version is all you need to start out with.

8. G Suite (Gmail for business)

Before using G Suite I was using GoDaddy as my email provider and was never happy with it.  After discovering I could use my custom email domain with G Suite I made the switch and have never looked back.  It’s $5 per month for solo entrepreneurs and is so worth it.  With Gmail you can create custom folders and labels as well as color code your emails to keep them neat and organized.

9. Showit

Showit is my website platform that I am in LOVE with!!  It’s easy to use drag and drop builder makes it super easy for anyone to be able to edit, change, or add information to a website at any time.  I was able to purchase a Showit template and change it up to fit my style and needs so easily!  If I can do it anyone can do it.  No more waiting two weeks for your web designer to make a simple change for you!

10. With Grace and Gold Showit Template

There are a few free templates you can choose from Showit, but I purchased my template from With Grace and Gold and have been very pleased with it.  I love it’s sleek and modern design.  They release new templates every season and they are always beautiful.  If you would rather have them design your website from scratch they offer custom design as well.

11. Adobe Photoshop Lightroom Phone App

I recently added the Adobe Photoshop Lightroom app to my phone after purchasing some photo templates to use with my personal photos.  I love how easy the app is to use with the templates I purchased.

12. The Light and Airy Preset Collection

I am so in love with these light and airy Lightroom presets I purchased to edit my photos.  It came with five different presets and all I have to do is select which preset I want to use on any of my photos and voila, my photo is perfectly edited and perfect for social media.  I only use these presets on photos I take, of course!
