When you book Southern Productions, for Full Service Wedding Planning you will get access to our cloud based planning  platform that allows you to collaborate with your planner, family and vendors in a seamless way.  It provides for a seamless planning experience that helps keep everyone on task and organized.  

There are so many aspects to planning a wedding so it’s easy to have stuff stored everywhere.  Photos saved to your phone and laptop, documents stored in Dropbox, tons of Pinterest boards, and the list goes on and on.  As your wedding gets closer you start to feel very unorganized as you try to remember where you saved an important photo or contract.  Then trying to figure out when you should order invitations, book a caterer, finalize your ceremony music?  Don’t worry, we’ve got you covered!  As your full service wedding planner we have the best tools in place to walk you through the planning process every step of the way.

Budget

When a client books us for Full Service Wedding Planning the first thing I do after meeting with them is set up their custom planning account.  I will set up their estimated budget first.  Here I will list every single thing they may possibly purchase for the wedding so they can see how much it’s actually going to cost based on their guest count, needs and wants.  As we officially book vendors I add in the actual cost of each vendor and post payments made to vendors.  Anytime a payment is due I am there reminding the client about the payment that’s due before the actual due date to ensure we pay all vendors on time.

Customized Checklist

Our checklists are cultivated from years of experience and are completely customizable to you and your unique needs. You can assign each item to a member of your planning team and comment with updates or questions, to keep communication connected.

Calendar

There is a calendar in each client account where we can add any scheduled meetings, site visits, dress shopping dates, etc.  The calendar also adds vendor payment due dates to the dates they are due, which is another great feature of the calendar.  

Vendor Contacts

This section is where we will keep track of every vendor that is involved with your wedding.  I will add each vendor along with all of their contact and payment information.  I will add a copy of each vendor’s contract and invoice, payments made and when their payments are due.  

The platform offers a messaging feature that allows you to have a conversation with your planner regarding a particular vendor inside of this vendor contact area.  This keeps all of the information and messaging about a particular vendor in one place so you or your planner can refer back to the conversation at any time.

Guest List Management

Our planning platform allows you to keep your guest list organized.  You can divide your guest list into groups; for example, have a list for the ceremony and a separate list for the reception (if you were to only have certain guests at the ceremony).  Or you could have one list for the rehearsal dinner and one for the wedding.  If we send out response cards I will be updating guest responses inside of the platform.

Seating Arrangements

Although this feature is not used for most of our weddings, we do use this feature to plan the seating arrangement for rehearsal dinner’s.  The seating arrangement took makes it so easy for us to create a seating plan based on your guest list responses.  

Floor Plan Creation

The floor plan tool is a recent addition that I love!  I always create the floor plan for my client’s weddings so you won’t have to worry about figuring out this feature, but you can view the floor plan at any time in your personal planning account.

Design Studio

The Design Studio inside our planning platform is like a mini Pinterest built right inside your personal account.  This is where we define the vision for your wedding.  You can browse tons of real weddings, create style guides (which are like “boards” in Pinterest), create color palettes, share interactive links to your boards, make comments on each picture and have conversations with your planner directly within the boards themselves.  

Notes Section

The notes section is where you will find so much good information.  I have added multiple note templates to my full service planning clients accounts that include etiquette advice, song suggestions, packing lists and oh so much more!  You can add  notes to this section at any time with any information you desire.

Timeline

I have a preloaded timeline template that includes the typical milestones of a wedding day.  As I meet with couples I will add or delete activities based on your wedding day plan until I have a final version.  I like to have the timeline finalized a month before the wedding, but that’s not always possible.  Sometimes I’m waiting on a photographer to confirm their photography timeline before I can confirm the master wedding day timeline.  

Once the timeline is finalized I will send out a version to the Bride & Groom, Bridesmaids, Groomsmen, Flower Girl & Ring Bearer, Parents and Grandparents.  That way the wedding party is not bothering the bride or groom the week leading up to the wedding wanting to know what time they need to arrive and where.  

Wedding Website

I love that our planning software offers a free wedding website inside of each client’s account.  In the past I would use other wedding websites for my client’s websites and now we truly have everything for the wedding all in one place.
