Business Tools for Wedding Planners

Are you a new planner, unsure of what business tools wedding planners are using to make their lives easier? Today, I’m sharing all my favorite business tools for wedding planners.

Business Tools for Wedding Planners

Aisle Planner

I’ve been using Aisle Planner for the past few years and really wish I had found it sooner.  If you are a wedding planner you need Aisle Planner in your life!  It’s the best of the best and was designed specifically for us wedding planners!  It has streamlined the process for me and my clients and is the only tool you need for all things wedding planning and business management.  I use it for timelines, checklists, budgets, guest lists, wedding websites, invoicing, sending proposals, sending contracts, collecting payments and so much more!  (Use this link HERE to receive 25% off your first 3 months with Aisle Planner!)

Trello

Trello has been a game changer for my business and my life.  I have been using Trello for a few years now and feel like I would be so lost without it.  Trello is a list management tool that allows you to organize and prioritize your life and projects in a fun, flexible and rewarding way.  You can add additional users, assign tasks, schedule due dates, attach documents, photos and more. You can view Trello HERE.

Mile IQ

Mile IQ is an app that I have downloaded to my phone that tracks every mile I make in any vehicle. It makes keeping up with my business mileage so dang easy. I don’t have to worry about writing down my mileage anymore, because Mile IQ does it for me. I do have the paid version that gives you unlimited mileage tracking and it’s so worth it. In the past I would never remember to keep up with my mileage (and I drive a lot to purchase supplies, go to meetings, go to events, etc.) and didn’t get credit for a lot of business miles I traveled before Mile IQ came into my life! Visit Mile IQ HERE.

G Suite

Before using G Suite I was using GoDaddy as my email provider and was never happy with it.  After discovering I could use my custom email domain with G Suite I made the switch and have never looked back.  It’s $5 per month for solo entrepreneurs. With Gmail you can create custom folders and labels as well as color code your emails to keep them neat and organized. I have a folder for every client which makes finding these super easy.

Dropbox

Dropbox is used to store all of my photos and documents instead of keeping them stored on my computers hard drive. I have everything organized into folders so it’s very easy to locate something at any time. I also have the Dropbox app on my phone, which I love. Every Friday I move any photos I have stored on my phone that I want to save to a specific folder in Dropbox. I do have the paid version of Dropbox because I needed it in order to store all of my folders, documents and photos, but it’s so worth it to me. I tried using Google Drive because it was free, but found that it was very slow to download and upload photos. You can get Dropbox HERE.

Mint

Mint is used to keep track of all business expenses. Mint is synced to my business checking account which makes it super easy to keep track of everything coming in and going out. I love that I can categorize each expense into specific categories which helps tremendously when it comes to tax time. Mint will automatically add recurring charges to specific categories that you have previously used which is a big time saver. I still log into my Mint account weekly and make sure everything is categorized correctly and to categorize any expenses not recognized by the system.

Later

Later is the tool I use to plan my Instagram posts. I used the free version that allows users to schedule up to thirty posts within a thirty day time period. However, they recently changed this plan to only 15 free posts per month. So, I’ve recently switched to the paid version so I can still get 30 posts per month.

I can create a month’s worth of content as well as schedule it to post whenever I desire. This has been such a time saver for my business! I don’t have to worry about what I’m going to post about everyday and I don’t have to remember to post everyday because Later reminds me. I get a notification that it’s time to share the post I have pre-scheduled in Later and all I have to do is hit “Post Now.” You can join Later HERE and receive 10 free posts!

Tailwind

I recently started using Tailwind to schedule my pins in Pinterest. With Tailwind you can automatically schedule pins for specific times weekly. I usually spend about an hour or less scheduling my pins for the week, which saves me so much time. Since I’ve been using Tailwind my blog content is getting shared more which in turn leads to more website views by potential couples. You can $15 off a Tailwind subscription via my link HERE.

Canva

Oh Canva how I love you! Canva has been a game changer for creating graphics, templates, e-books, design guides, and more for my business. Canva is so easy to use and does not require you to be a graphic designer to use it. I do have the paid version of Canva because I like to have my business fonts and colors already uploaded into Canva and ready to use on anything I am designing. The free version gives you all of the same benefits other than storing your custom fonts and colors. I used the free version for months just fine so I definitely think the free version is all you need to start out with. You can get started with Canva HERE.

Flodesk

Flodesk is an email service provider that I have been using for about a year now. I love how easy it is to use. I can easily create opt-in’s, newsletters and create email funnels just to name a few things. You can join Flodesk at 50% off using my link below, which makes it just $19 per month. If you are just starting out and need a free email service provider, Mailchimp is going to be for you. You can get started with Flodesk HERE.

Adobe Lightroom App

I recently added the Adobe Photoshop Lightroom app to my phone after purchasing some photo templates to use with my personal photos. I love how easy the app is to use with the templates I purchased. You can download the free app HERE.

The Light and Airy Preset Collection

I am so in love with these light and airy Lightroom presets I purchased to edit my photos. It came with five different presets and all I have to do is select which preset I want to use on any of my photos and voila, my photo is perfectly edited and perfect for social media. I only use these presets on photos I take, of course! You can get the collection HERE.

Showit

Showit is my website platform that I am in LOVE with!! The easy to use drag and drop builder makes it super easy for anyone to be able to edit, change, or add information to a website at any time. I was able to purchase a Showit template and change it up to fit my style and needs so easily when I was getting started. If I can do it anyone can do it. No more waiting two weeks for your web designer to make a simple change for you!

With Grace and Gold

There are a few free templates you can choose from Showit, but I purchased my template from With Grace and Gold and have been very pleased with it. I love it’s sleek and modern design. They release new templates every season and they are always beautiful. If you would rather have them design your website from scratch they offer custom design as well. Check them out HERE.

Blogstomp

Blogstomp is the tool I use to prepare and add images to a blog post. No more adding photos one by one and spending hours doing so! The photos are perfectly sized for my blog and it only takes about 10-15 minutes to take a selection of wedding photos and resize them for a blog post. You can upload your photos right into your blog post from Blogstomp which is a huge plus for me! It’s so worth the $49! Time is money friends! You can check it out HERE.

All Seated

All Seated is the floor plan software used by most wedding planners today and is the best out there. When using Allseated, floorplans are designed to scale which is a major plus for me. The tools in Allseated make it super easy and efficient to place objects in the event layout to design the floorplan. You can select the chair types, linen color and style, add chargers, dinnerware, glassware, furniture and more making it more of a visual aid for your clients.Another big feature of Allseated is the ability to see the floorplan in 3D! The 3D viewing options truly makes it feel as if you’re actually inside in an event space. And the best part is you can use Allseated for free to plan up to ten events. Once you reach ten events you can pay a monthly subscription for a minimal fee. Check out All Seated HERE.
